Occupational Therapy Manager

We are seeking applications for the position of a Occupational Therapy Manager for a permanent full-time role.

The Occupational Therapy Manager is a pivotal post with responsibility to lead and manage all Occupational Therapy resources in Bloomfield Health Services to ensure a comprehensive Occupational Therapy service and to enhance its function and status throughout the service.

This is an exciting opportunity for an experienced Occupational Therapy Manager to play an integral and active role in a committed Multidisciplinary Team to make a significant contribution in the area of Occupational Therapy.

Key Responsibilities will include:

  • Provision of strategic and operational leadership of Occupational Therapy Services and its staff at Bloomfield Health Services across both the Mental Health and Nursing Home services.
  • Be an active member of the Clinical Governance Committee and to assist in the development and implementation of strategic and operational plans for Bloomfield Health Services.
  • Ensure that the highest standard of clinical care in Occupational Therapy is planned, delivered and evaluated and that all targets and objectives are met in line with national and local standards and within a legally compliant framework. The Occupational Therapy Manager role will include the management of a caseload to support residents with severe and enduring mental illness and complex needs.
  • Provide Occupational Therapy Services within a legally compliant framework.
  • Efficient, effective and economic provision of a person centred Occupational Therapy Service for all patients and residents of Bloomfield Health Services within a defined budgetary framework.
  • Coordinate and supervise volunteer activities.
  • Provision of teaching, research and academic support at a senior level as developed at associated educational facilities, e.g. Trinity College Dublin.
  • Provision of effective leadership and people management of direct reports within the Occupational Therapy Dept. in accordance with Bloomfield Health Services’ policies, performance management, training and health & safety structures.
  • As Occupational Therapy Manager s/he will be required to contribute strategically on issues pertaining to the Management of Bloomfield Health Services’ while being mindful of the History, Mission, and Quaker ethos of Bloomfield Health Services.

Person Specification

The successful candidate will have the following qualifications, skills and competencies:

  • Be registered on the Occupational Therapists Register maintained by the Occupational Therapists Registration Board at CORU.
  • Hold a degree in Occupational Therapy or an equivalent qualification and be eligible for membership with the AOTI.
  • Have a total of five years post qualification experience in areas which include General Adult Psychiatry/ Neuropsychiatry/Mental Health Rehabilitation/Psychiatry of Old Age.
  • Ideally have a management level or position of additional responsibility to their clinical area.
  • Demonstrated ability to provide a level of clinical care required by this post according to the standards and requirements set by statutory and regulatory bodies.
  • Be able to illustrate a high level of verbal and non-verbal skills in order to effectively communicate with and relate to residents and / or parents / family, colleagues, hospital staff and management.
  • Be able to demonstrate a satisfactory level of proficiency so as to enable the appointee to manage his/her staff and service and to be able to interact with and participate in hospital management structures as required. Furthermore, the appointee should demonstrate the ability to lead, supervise and be responsible for the clinical work of his / her department team.
  • Have the skills required for educational training to students of occupational therapy.
  • Demonstrate an ability to lead change and to develop occupational therapy services.
  • Be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

Executive Assistant to the CEO and Medical Secretary

We are seeking applications for the position of Executive Assistant to the CEO and Medical Secretary (Incorporating Mental Health Act Administrator role) for a permanent full-time role.

This is an exciting opportunity for an experienced Executive Assistant and Medical Secretary to play an integral and active role in a committed team to make a significant contribution in the area of mental health and older person’s services.

Key responsibilities include:

  • Managing and maintaining diaries of the CEO and the Clinical Director.
  • Compiling reports and analytics for the CEO and regulatory purposes in an accurate and timely manner.
  • Organising and planning meetings and events as required.
  • Clinical governance, clinical team cascade and senior management team meeting administration requirements to include agenda and minutes management.
  • Completion of the Mental Health Act Administrator role to include administration management for all Mental Health Act and regulation requirements which will include:
  • Maintaining accurate and up to date records and databases.
  • Monitoring Mental Health Act reviews and renewals.
  • Arranging, organising and administration of Mental Health Tribunals.
  • Supporting the completion and maintenance of all documentation relating to Mental Health Act ie. Form 17, Capacity Assessments and Consent to Treatment.
  • Renewal of an involuntary admission orders.
  • Administration management of ward of court applications.
  • Preparing reports, meeting minutes and correspondence as required.
  • Updating and maintaining of relevant information systems.
  • Management of the clinic outpatient appointments to ensure the efficient running of the clinics.
  • Provide relief reception cover as required.
  • Perform other duties as may be assigned by the CEO and Clinical Director.
  • Operate within the legislative, regulatory and policy framework that governs the organisation.
  • Foster and sustain the organisations ethos, philosophy, culture and values.

Qualifications & Experience Requirements

The successful candidate will hold a recognised and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI) and a minimum of 2 years post qualification secretarial experience. Previous Executive Assistant experience is desirable.

Experience will include:

  • Energetic individual with experience of working within a diverse team.
  • Experience working in a hospital/healthcare setting as a Medical Secretary with up to date secretarial skills to include the use of an audio recording system.
  • Experience as a Mental Health Act Administrator is desirable.
  • Training and expertise with Mental Health Act and HIQA Regulation desirable. including Tribunal administration, Ward of Court administration and Consent to treatment assessment organisation.
  • High level of verbal and written skills to effectively communication with and relate to colleagues, patients/residents, contractors, service providers etc.
  • Excellent knowledge and administration experience.
  • Excellent diary management experience.
  • Strong knowledge of data protection practices, policies and procedures.
  • Proven experience in building effective relationships.
  • Proven ability to work operationally and strategically.
  • Excellent communication skills both written and verbal.
